Job Purpose

An opportunity to support the delivery of operational processes in the RCVS Academy. Working collaboratively within the Academy team and across multiple departments within the College to deliver accurate processes that maintain and improve Academy functionality. Working within quality assurance frameworks and associated legislation to ensure digital learning functions remain high-quality, secure, efficient and learner centric.

This role will involve collecting and maintaining data, providing reports and supporting learners with access and queries. Working with the Operational Manager and communications team, the Academy Officer will support delivery of the engagement strategy, Academy Live online and in-person events. A flexible mindset with the ability to manage multiple priorities and work with a range of stakeholders is essential to meet the varied responsibilities of this role.   

 

Key Responsibilities

 

  • Deliver processes to maintain operational efficiency of the Academy LMS.
    1. Follow quality assurance processes and conduct regular tests
    2. Work with the digital team to maintain learner access, identify and resolve technical issues
    3. Maintain accurate learner data in accordance with data legislation
    4. Work with the team to set-up courses, maintain consistency, access, and reporting requirements

 

  • Provide learner support to access and utilise the Academy
    1. Act as the point of contact for all learners with consistent application of client-care principles
    2. Administrate the Academy email inbox ensuring efficient response rates
    3. Provide support for internal and external users to register, access and navigate the LMS
    4. Maintain the Academy support pages ensuring they remain relevant and responsive to learner needs
       
  • Maintain and work within quality assurance processes.
    1. Work with the Academy Operations Manager to ensure compliance with intellectual property and data legislation
    2. Maintain accurate, up-to-date and secure documentation
    3. Work within a quality assurance framework to maintain regular review processes
    4. Support the Academy team to drive continuous improvement and implementation

 

  • Work with the communications team to promote and deliver Academy content
    1. Support the delivery of the communications schedule
    2. Host virtual learning events, providing support for trainers and learners
    3. Work with the events team to deliver in-person Academy events 
    4. Represent the Academy and RCVS at internal and external events  

 

Qualifications 
 

  • Proven industry experience in IT system administration.

 

Essential Criteria-Skills, Knowledge & Experience 
 

  • Experience administering or supporting a Learning Management System (LMS) or similar digital learning platform
  • Proven experience with a range of IT systems and Microsoft packages 
  • Experience providing high-quality customer or learner support in a professional environment
  • Experience maintaining accurate records and documentation in line with data protection requirements
  • Experience working within quality assurance or compliance frameworks
  • Working knowledge of data protection legislation (e.g., GDPR) and information governance
  • Strong organisational skills with the ability to manage multiple tasks and priorities
  • Excellent written and verbal communication skills
  • Approachable, positive and solution-focused 
  • Ability to work collaboratively with cross-functional teams (e.g., digital, communications, events)
  • Strong attention to detail and commitment to maintaining consistency and standards
  • Ability to deliver a professional and responsive learner support service
  • Professional and confident in representing the organisation internally and externally

  • Experience supporting online events, webinars, or virtual learning sessions
