The Royal College of Veterinary Surgeons (RCVS) is starting on a project to implement a new CMS and now require a Project Manager to lead the implementation.

The role requires you to act as the main point of contact, and project manager, for the CMS project from Discovery to post-go-live.  You will be required to liaise with internal stakeholders and external suppliers, provide some business analysis, and first line system problem solving. 

The Project Manager will be responsible for the day-to-day project progression, working as a PMO to coordinate staff and supplier diaries, meetings, and progress / issue reporting as necessary. 

You will manage all communications with RCVS staff and the system suppliers, and make sure that all stakeholders use a common language to express their requirements clearly in a way that can be turned into user stories for required enhancements.  The Project Manager will attend project and functional meetings, to note and follow-up on actions, and liaise daily with the system suppliers’ Project Managers.

You will be a key point of contact for the Project Manager responsible for implementing a new CRM, ensuring that key dependencies and deliverables are understood and co-ordinated effectively.

You will have recent, relevant experience leading projects of significant size and complexity. You will be comfortable with ambiguity, working with the Head of Marketing & Digital Communications to create strategic direction and define priorities, tasks and deliverables. You will be comfortable establishing and maintaining a sense of momentum for the project using your initiative to drive work forward, and delivering to agreed deadlines.

The successful candidate should have excellent knowledge of web content management systems and ideally some knowledge of CRM systems.

 

Key Responsibilities

 

  • Act as the main point of contact between the RCVS and the suppliers, and internally with the project stakeholders
  • Engaging with internal and external stakeholders to ensure user needs are understood, managing the development of the project plan and budget, establishing regular meetings to share progress and seek input and delivering to agreed timescales.
  • Prepare regular project updates to key stakeholders and suppliers.
  • Convene stakeholder meetings and Project Board Meetings and produce documentation for project governance
  • Liaise with the CRM Project Manager to ensure co-ordination and synergy with the CRM project
  • Formulate plans for the project workstreams including deliverables, development, testing, implementation, and communications
  • Regular liaison with the CRM Project Manager, the internal Project Sponsor, the Website Manager and Head of Marketing Communications & Digital to ensure there is clarity of communications and issues are resolved
  • Skilful and proactive management of the project scope
  • Produce Issues and Risk Logs and manage both proactively and appropriately
  • Proactively anticipate issues and resolve as amicably as possible
  • Interact with RCVS staff in all departments and our suppliers to understand business enhancement requirements
  • Manage solution testing and assist with user acceptance testing
  • Manage user and administrator training
  • Ensure all CMS activity is undertaken observing the requirements of data protection legislation (GDPR).

 

Essential Criteria

 

Qualifications

 

  • Educated to degree level, or professional qualification in project management, such as APM Project Management Qualification (PMQ) or another recognised qualification (e.g. Prince2 or PMP)

 

 

Skills, Knowledge & Experience

  • Demonstrable experience of web development, enterprise website migration projects, UAT testing and HTML coding.
  • Proven recent experience of managing web projects of significant size and complexity.
  • Ability to work constructively with colleagues in IT to advocate and champion UX, UI and accessibility in web and digital projects.
  • Excellent working knowledge of different Content Management Systems. Ability to understand and advise on integrations including CRM systems.
  • Proven experience in project management in a complex organisation with multiple stakeholders including committee members, senior staff and subject matter experts
  • Successful experience of translating analysis into practical implementation
  • Facilitation and workshop experience
  • Willingness to represent the College appropriately and professionally in all situations.
  • Proven ability to organise time effectively, to multi-task and to meet competing deadlines and requirements.
  • Patience, initiative, sound judgement, and willingness to work as part of a team.
  • Experience of different project management approaches e.g. agile and waterfall
  • Creating and tasking plans for multiple workstreams
  • Well-developed planning, organisational and business analysis skills
  • Great communication skills – Written and verbal
  • Good influencing /negotiation skills to work with business teams to agree scope, requirements and priorities.
  • Risk and Issue Management experience
  • Good team working skills.
  • High-level of IT literacy, proficient user of Microsoft Office tools and project management software

 

 

Desired skills & experience

  • Experience of working in an information-heavy organisation such as a regulatory organisation.
  • Experience of establishing new ways of working and successfully embedding them to secure effective use of resources.
